A small office, properly planned: the occupier’s brief

Define the working day before choosing the address

The right small office begins with a working pattern. How many people need a desk on the busiest day? How often do clients visit? Which conversations require privacy? A prestigious address and a polished reception do not answer those questions.

Create a one-page occupier brief before requesting viewings. State your activity, team size, expected visitors, desired start date and essential locations. Separate requirements that determine whether the business can operate from preferences about appearance. This allows a broker to identify relevant options and makes each viewing easier to assess.

Editorial image note: The cover is an AI-generated office-planning concept, not an available unit or a photograph of a named building.

Use the newsroom evidence as context

Our Q3 2026 office newsroom analysis looks at demand for smaller spaces and the practical choices facing occupiers. Savills’ office report, published on 15 October 2026, says that 66% of rental transactions were for units below 1,000 square feet.

That share describes recorded transactions; it does not establish how much space your team needs or prove availability in a particular building. Translate the market discussion into a more precise brief instead of assuming that every compact office offers the same experience.

Plan for peak occupancy, meetings and privacy

Plan for peak occupancy, meetings and privacy

Count the people likely to be present together, including occasional visitors. Then list activities rather than allocating space only by headcount: focused work, calls, confidential meetings, printing, storage and breaks. A room that accommodates desks can still fail when two calls and a client meeting happen at once.

Ask for a dimensioned layout and test it with realistic furniture sizes. Check circulation, doors, storage and access to shared facilities. Where technical capacity or safety is material, obtain advice from an appropriately qualified professional instead of relying on a conceptual floor plan.

  • Confirm whether meeting facilities are dedicated, shared or separately charged.
  • Test privacy and noise during a normal working period where possible.
  • Check connectivity options and installation timing directly with the relevant providers.

Compare the route to a working office

Describe each option by what is actually included and what remains to be done. Labels such as “fitted”, “furnished” or “ready” can conceal different assumptions. Request an inventory and condition record, along with written confirmation of the works and approvals relevant to your intended occupation.

Commercial termsItemised written proposal and draft agreementExclusions and unconfirmed amounts

This is a briefing framework, not a universal approvals checklist. Requirements depend on the business, jurisdiction, building and proposed works.

Build two budgets: opening and ongoing

The opening budget should capture the cash required to reach an operational workspace. Depending on the offer, this may include deposits, professional fees, fit-out, furniture, connectivity installation and moving costs. Treat a refundable deposit separately from an expense while still accounting for the cash it ties up.

The ongoing budget should show rent and all other confirmed recurring obligations, with payment dates. Ask which charges are included, paid to another provider or subject to later confirmation. Record taxes as applicable to the actual transaction rather than applying a generic figure to every proposal.

Compare options over the same period and scope. If one proposal includes furniture and another does not, reconcile that difference before drawing conclusions from the rent alone. Obtain appropriate professional advice on contractual and tax questions.

Give the shortlist a realistic timetable

Work backwards from the date the team needs to operate. Include document review, any required approvals, works, connectivity, furniture delivery and the move itself. Identify who owns each dependency and which dates remain estimates. A target start date is useful only when the steps needed to reach it are understood.

After each viewing, record the strongest fit, the main compromise and the unanswered question. Request the current availability and written commercial terms before making a commitment. A previous listing or an appealing photograph does not establish that a unit is still available.
